Frequently Asked Questions
Logging in, microphones, attempts, reports, and what managers can do. Still stuck? Ask your manager or training administrator — they can resend links, grant attempts and see your sessions.
For learners
▸How do I log in for the first time?
- Open the email titled “Set up your … training account” and click Set your password.
- Choose a password of at least 8 characters and confirm it. You are signed in straight away.
- Next time, go to the login page and use your work email and that password.
▸My invite link says it has expired or was already used.
Links work once and expire after 7 days. Go to the login page, click Forgot password?, enter your work email, and you will get a fresh link within a few minutes. If nothing arrives, check your spam folder, then ask your manager to click Re-send invite on your profile.
▸I forgot my password.
On the login page click Forgot password? and enter your work email. The link in the email works once and expires in 1 hour. Signed in and want to change it? Open Account in the top bar.
▸How do I allow the microphone?
- iPhone (Safari): when you press Start call, tap Allow. If you tapped Don’t Allow earlier, open Settings → Safari → Microphone → Allow, then reload the page.
- Android (Chrome): tap Allow on the prompt. Blocked earlier? Tap the lock icon next to the address, then Permissions → Microphone → Allow.
- Laptop (Chrome/Edge): click Allow in the popup by the address bar. Blocked earlier? Click the lock/tune icon → Site settings → Microphone → Allow, then reload.
- Use headphones if you can; it stops the AI hearing itself. Not sure it works? Run the 2-minute warm-up on your home page — it never counts.
▸The call dropped or the page froze. Did I lose an attempt?
No. Only a session that finishes and gets graded counts as an attempt. Reload the page, go back to What’s due, and start again. If it keeps happening, try a different network (Wi-Fi vs mobile data) or browser, and tell your manager.
▸How many attempts do I get, and which one counts?
Your organisation sets the number; each scenario card shows how many you have left. Your manager can grant one more on request. Reports show every attempt; the score shown against the assignment is your latest.
▸How long does a session take?
About 6 minutes of conversation, then a minute or two for grading. You can end the call yourself at any time once you have covered the objectives.
▸What will I see after a session, and who else can see it?
Depending on your organisation’s settings you see either the full evidence-linked report, a short summary, or a “Session submitted” note (your manager then debriefs you). Your manager and your organisation’s training admins can see your results; other departments cannot. Details are on the Privacy page.
▸Is my voice recorded?
Yes, by our voice provider, so delivery can be assessed and the transcript produced. No video is recorded; the camera preview is optional and only for realism. See Privacy for retention and deletion.
▸Can I speak in Hindi or Hinglish?
Some scenarios are set up for Hindi/Hinglish and say so in their brief; the AI will follow your lead. English-only scenarios grade English.
▸Where is the walkthrough again?

For managers and administrators
▸How do I add learners?
- Open People and click Invite.
- Add one person, or switch to CSV bulk upload and paste rows of
name, email. - Click Add & send invites. Each person gets a set-password email. Anyone still marked Invited has not set a password yet.
▸How do I assign scenarios to a group?
- On People click Assign scenarios.
- Tick the learners (filter by property, use “All shown”) and the scenarios (use “all” per category).
- Set the due window and, if needed, an attempt limit for this batch. Click Assign & notify. Each learner gets one email listing everything assigned.
▸How do I remove an assignment or give someone another attempt?
Open the learner from People. In the Assignments table, Unassign removes a row (sessions already taken stay in their history) and +1 attempt appears when a learner has used up their allowance.
▸Someone has left. How do I remove them?
Open the person and click Deactivate. They can no longer sign in and disappear from rosters, KPIs and assignment pickers, but every session and result is kept and they can be reactivated. Delete learner in the Data & privacy card is the permanent erasure path for a privacy request only.
▸How do I add, move or replace a manager?
On People the managers of the selected property are listed above the learners. Administrators can invite another manager (a property can have several), move a manager to a different property from the dropdown, send them a password link, or deactivate them. Rename a property with the pencil next to its name.
▸A learner is locked out.
Open their profile and click Send password reset link (or Re-send invite if they never set a password). The link works once and expires in 1 hour.
▸How do I read a report?
Sessions lists every attempt; click a scenario name for its report. The top shows the overall band; each criterion quotes the exact transcript line that earned its score, with the level description next to it. Objectives show what the learner did and missed; Delivery (where the rubric includes it) covers pace, fillers and tone. There is no regrade — coach from the evidence.
▸Where do I set attempts, what learners see, and which scenario packs apply?
Settings in the sidebar (administrators only): attempts per assignment, learner report visibility (full / summary / manager shares — each has a Preview), open practice (adds a Practice library to every learner's home page), and the content packs visible to your organisation.
▸How do I export results?
On Sessions click Export CSV: one row per graded session with the overall score and every criterion score, within your scope.
▸What does a manager see versus an administrator?
A manager sees only the learners, sessions and results in their own property/department. An administrator sees the whole organisation and can invite managers, create properties and change Settings.
▸Where is the walkthrough again?

Scoring and privacy
▸What evidence does Maestro use for scoring?
The scenario’s rubric and the conversation transcript. Every criterion score quotes the line that earned it. Where the rubric includes delivery criteria, the recording is also assessed for pace, pauses, fillers and tone.
▸Does Maestro evaluate body language from video?
No. No video is recorded or sent anywhere. The optional camera preview exists only to make the role-play feel real.
▸Is the camera required?
No. Only the microphone is required. Skipping the camera does not change the score.
▸Can a score be appealed or regraded?
Not in-app. Managers review the evidence with the learner and can assign another attempt. If you believe the rubric itself is wrong, that is changed at organisation level.
